Professional approach to handling resident complaints with transparency and efficiency.

Why Complaint Management Matters

Complaints are inevitable in any community. How you handle them determines resident satisfaction and trust. A professional, transparent approach turns complaints into opportunities to improve and demonstrate commitment.

The Foundation: Set Clear Expectations

  • Publish complaint policy: what types are accepted, resolution timelines
  • Communicate that all complaints will be addressed fairly
  • Set response time expectations (acknowledgment within 24 hours)
  • Explain the resolution process clearly
  • Make it easy to submit complaints (multiple channels)
  • Assure confidentiality and no retaliation policy

The Resolution Workflow

1

Acknowledge Receipt (Within 24 hours)

Send immediate confirmation that complaint was received. Include ticket number for tracking

2

Investigate Thoroughly (Within 2-3 days)

Gather facts, contact relevant staff, understand the issue fully before responding

3

Determine Responsibility (Clear assignment)

Assign to appropriate staff member or department with clear ownership

4

Provide Status Updates (Every 3-5 days)

Keep resident informed: 'We're investigating', 'Parts ordered', 'Scheduled for today', etc.

5

Resolve & Document (Target: 7-14 days)

Complete resolution and document what was done. Send summary to resident

6

Follow Up (After 1 week)

Check that resolution satisfies resident. Ask for satisfaction rating and feedback
